Privacy Policy
How HiTech Consultancy collects, uses, discloses and safeguards personal information, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Overview
HiTech Consultancy ("HiTech", "we", "us" or "our") provides Odoo ERP, software development, automation, mobile app and business telecom services to organisations across Canada. This policy explains what personal information we collect through our website and in the course of providing our services, why we collect it, who we may share it with, and the choices and rights available to you. It's written to reflect the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
By using this website or engaging HiTech for services, you agree to the collection and use of information as described in this policy.
Information we collect
We collect information in a few different ways:
- Information you provide directly — your name, company name, email address, phone number, and any details you share through our contact form, by email, or by phone, including a description of the project or problem you're asking us to help with.
- Information collected automatically — standard technical data such as IP address, browser type, device type, pages visited and referring URL, collected through normal website operation and analytics.
- Information from engaging our services — where you become a client, we may collect additional business information necessary to deliver Odoo ERP, development, automation, telecom or staffing services, such as system access details, business process documentation, or account information relevant to a specific project. This is scoped to what a given engagement requires.
We do not knowingly collect sensitive categories of personal information (such as health, financial account, or government identification details) through this website, and we ask that you not submit that kind of information through our contact form.
How we use it
We use the personal information we collect to:
- Respond to inquiries and follow up on consultation requests;
- Prepare quotes, proposals and scopes of work;
- Deliver, support and maintain the services you've engaged us for;
- Communicate about your account, project status, or service changes;
- Improve our website and understand how visitors use it; and
- Meet legal, accounting and regulatory obligations.
We do not sell personal information, and we do not use it for purposes unrelated to the ones described here without asking first.
Consent
By submitting your information through our contact form or by contacting us directly, you consent to our collecting and using it as described in this policy. Where we need your information for a new purpose, we'll ask for your consent at that time, unless we're required or permitted by law to proceed without it. You can withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice — see Your rights below.
Disclosure to third parties
We don't share personal information with third parties except in the following circumstances:
- Service providers — we work with hosting, email, and business-tools providers who process information on our behalf, solely to help us run our website and deliver our services, under obligations to protect it.
- Telecom & connectivity partners — where you engage us for telecom services, relevant contact and account details may be shared with the specific carrier or provider (for example Rogers Business, RingCentral, PhoneBox or OpenPhone) needed to set up or manage that service.
- Legal requirements — where disclosure is required by law, court order, or to protect the rights, property or safety of HiTech, our clients, or others.
- Business transitions — in the event of a merger, acquisition or sale of assets, information may be transferred as part of that transaction, subject to the same privacy commitments described here.
Cookies & analytics
Our website may use cookies and similar technologies to remember basic preferences and understand aggregate visitor behaviour (for example, which pages are most useful). You can disable cookies through your browser settings; doing so may affect some site functionality but won't prevent you from browsing or contacting us.
Data retention
We keep personal information only as long as necessary for the purposes described in this policy — typically for the duration of a client relationship plus a period afterward to meet legal, accounting or contractual obligations. Contact-form inquiries that don't lead to an engagement are retained for a reasonable follow-up period and then deleted or anonymised.
Security
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold, to protect it against loss, theft, and unauthorised access, disclosure, copying, use or modification. No method of transmission or storage is completely secure, and we can't guarantee absolute security — but we work to keep safeguards current and to limit access to information on a need-to-know basis.
Your rights
Under PIPEDA and applicable provincial law, you have the right to:
- Ask what personal information we hold about you and how it's being used;
- Request access to and a copy of that information;
- Request correction of inaccurate or incomplete information;
- Withdraw consent to our collection or use of your information, subject to legal or contractual limits; and
- Raise a concern or complaint about how we've handled your information.
To exercise any of these rights, contact us using the details below. We'll respond within a reasonable time and in accordance with applicable law. If you're not satisfied with our response, you have the right to contact the Office of the Privacy Commissioner of Canada.
Children's privacy
Our website and services are directed at businesses and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices or for legal, operational or regulatory reasons. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be reflected here; continued use of our website or services after an update means you accept the revised policy.
